How to send personalized cold emails with Woodpecker and Lyne.ai

What you’ll learn

Sending cold email is still the number one way of generating new business, even as we’re entering 2022. However, it’s undeniable that things have changed over the last few years.

While before you could load up a few hundred emails that started with {{first_name}} tags and you’d land a few solid leads, these days that won’t cut it anymore.

Personalization is the name of the game now, and in this guide I’ll show you exactly how to win that game.

By linking together Woodpecker and Lyne.ai you’ll be able to send hyper-personalized cold emails on autopilot. I’m not talking about personalized images or generic or shallow personalization — I’m talking about sending emails like this one, at scale:

Cold email template

If that sounds like something you’d like to be able to do for yourself or for your clients then keep reading. I’ll show you how to:

  • Personalize icebreakers at scale based on podcast appearances, webinar appearances, Substack newsletters, blogs, company case studies, and much, much more
  • How to set that up in Woodpecker
  • How to automate the entire workflow and save hundreds of man hours per month (yours truly managed 20 clients for his cold email agency, alone, using this exact method)

Why you need it

If you’re reading this, chances are you already have the answer to that question. Generic cold emails no longer work, but personalization takes time and isn’t scalable.

You’ll either find yourself spending hours inside Google Sheets & LinkedIn, trying to come up with icebreakers or one-liners. Or, you’ll end up hiring VAs or SDRs who need training, supervision, and well..a paycheck. Not ideal.

Lyne.ai was built for that exact reason: helping people like yourself to achieve superhuman productivity.

We don’t believe that sales deals should be closed by robots, only humans can and should do that. However, that first touch is something that can be done far more efficiently and that’s where we + Woodpecker come in.

Let’s get started: generating cold email icebreakers with AI

Lyne.ai uses artificial intelligence to analyze your prospects, find anything there is to find on them online, and write (several) icebreaker(s) or intros for them which you can use as {{mergetags}} in your cold outreach.

We’re able to find Substack newsletters, podcast appearances, webinars these people hosted, case studies they posted, blog posts they’re featured in, and much more.

While all we need is a LinkedIn profile or a professional email address, the more data you provide us with, the better.

You can then set your preferences in Lyne on which sources to use for your personalized cold email intros, and in which order.

Lyne.ai Advanced Settings

Pro tip #1: toggle the “subject lines” button — we’ll create matching subject lines for your intro. If for example the intro talks about a case study, the subject line will be “your xxx case study” or “x% increase for client xx”.

If for example blog posts are most important to you, you can set those at the top of your list, followed by your second most important source.

Think of it as telling your SDR “if they have a blog, use that. But if there’s nothing there, go and have a look at their LinkedIn profile”.

Only thing is, Lyne writes about 900x faster than your average SDR. Processing a file with 1000 prospects will take around 1 hour. Just think of how many cold email campaigns you can feed this way..

Once ready, your results will be available for download or sync in your dashboard. Download the CSV to give the results a quick skim or touch up, to then sync them with Woodpecker.

Or, use our built-in Woodpecker integration to automatically sync your results with any account or campaign you have linked in your dashboard.

Mailshake Integrations

Pro tip #2: you can manage unlimited clients and campaigns from your Lyne dashboard

Preparing your Woodpecker account

Before you’re able to use your new AI-generated cold email intros, you’ll need to know how to use custom variables in Woodpecker.

For example, for our intros we use the variable {{lyne}}, while for the matching subject lines we generate we use the {{subject_lyne}} variable.

Pro tip #3: read the official Woodpecker help article here: https://docs.woodpecker.co/en/articles/5258902-how-to-use-our-custom-fields-snippets

After uploading your Lyne.ai CSV for the first time, you should map all Lyne-generated data as “Other” to be able to use them as variables.

Once you’ve created your list, go to your email template and click on the dropdown menu to select a new variable (you should now see the name of your CSV’s columns).

That’s it — you’re now able to use the “personalized snippets” Lyne created in your Woodpecker campaigns.

The results: your automated AI-lead generation bot

Feeling like Elon Musk yet? You’ve just built your very own AI-powered sales rep – you’re one step closer to building your own rocket I suppose.

Now all you’ll have to do is regularly add prospects to Lyne, then sync those with your Woodpecker account. Each of your prospects will receive a hyper-personalized cold email that looks as if you’ve spent hours researching them online.

Most of our users say they’ll never go back to sending normal emails again, simply because the results are too good. From 200% increases in open rates, to 3-4x higher reply rates, to downscaling human operations from 50+ people to just 8 – Lyne.ai users are making more money with the help of AI.

How To Verify an Email Address Without Sending an Email (for Free!)

How To Verify an Email Address Without Sending an Email (for Free!)

Email is the backbone of any sort of Internet marketing plan. Regardless of what sort of business you run, if you have an online presence, you’re going to be sending a lot of emails. You’re not just emailing existing clients, either, but also prospective clients. That’s why your messages must go through.

You can’t contact a client without first knowing that client’s email address. These days, there are plenty of ways to find someone’s address, but you want to be sure it’s a valid, active email account before you start sending things to it. If you shoot an email to an inactive account, the email will bounce.

So, What’s The Big Deal About Bounced Emails?

Not only are undelivered emails a waste of time, but the more emails you send out that get bounced, the more likely your emails will be marked as spam in the future. We’re not talking about the tasty canned meat, either. We’re talking about junk mail, or, in Internet parlance, spam.

We all know how email services handle spam. If an inbox flags your message as junk, it will go straight into a spam folder, where it will almost definitely go ignored until it’s automatically deleted. That’s no way to run a business. Always ask yourself “is this email valid?”

So, again, what’s bad about bounced emails? Not only do you fail to reach a potential customer, but you also hurt your chances of reaching potential customers in the future.

The solution: verification.

How to verify any email address

How to Verify an Email Address Before You Send That Email

The key to avoiding bounced emails is to only send to addresses that you know are legit. This means that the target address is genuine and will receive your email with open arms. Okay, maybe it won’t happen exactly like that, but you’ll likely avoid the dreaded spam filter.

Fortunately, there are more than a few ways to verify email addresses. Some of these methods are ideal for checking a small handful of addresses, while others are more suited for checking dozens or hundreds of email addresses at a time. Whatever your situation may be, there are plenty of options.

Heck, sometimes you don’t even need a third-party tool to verify an email. For example, if you’re trying to find out if someone has a Gmail account, you can do that right on the website.

Step 1: Compose a new email.

Step 2: Type the email address that you’re looking to verify in the “To” field.

Step 3: Mouse over the email address. If the account is valid, a box with the account information will pop up, just like below.

Verify an email for free

Checking One Email at a Time

If you’re dealing with a mailing list that includes a substantial amount of addresses, you’re going to need a bulk tool of some kind. Unless you have limitless patience and a few days to spare, these one-at-a-time methods are not going to cut it.

By the same token, if you only need to verify a few addresses, there’s no reason to bust out the big guns. Using a bulk program to check on a handful of email addresses is absolute overkill and more hassle than it’s worth.

Verify Email Address Dot Org

It doesn’t get any simpler than this. In operation since 2010, the site features a simple search bar, sandwiched in between two pretty unsightly ad blocks. It does what it promises, though, and for the very reasonable price of free, it’s easy enough to ignore the advertisements.

All you need to do is type in the address in question and click “Verify Email Now” and the site will tell you if the address is valid or not.

Is this email valid?

Email-Checker Dot Net

This is another site that does a very simple, very reliable job of verifying email addresses. Email Checker also explains how they do what they do, and it’s never a bad thing to understand how something works. Email Checker does its job in three steps:

Step 1: It makes sure that the email address you entered is in the correct format.

Step 2: It then ensures that it’s a valid domain and whether or not it’s a disposable address.

Step 3: Finally, it connects to the email server to verify that the mailbox actually exists at the address that you’ve given.

They also point out that some email servers don’t play nice when it comes to verification, so the results may be inaccurate or it might just say that it can’t complete the job. Fortunately, the tool works for most of the big email servers, meaning that it will work with most of the addresses out there.

How to verify email address

Verafalia

Verafalia offers a bit more than the two sites listed above. Yes, you can verify single email addresses for free. It also gives you more information than the other sites, such as whether or not the address is bound to a free email provider or whether or not the address is hiding a honeypot.

The site works like all the others. All you need to do is enter the address and click the button. Sometimes you’ll have to verify that you’re not a robot by checking a simple box. If the robots ever learn how to tick boxes, we’re all doomed.

Free email address validator
If you have several addresses to check, Verifalia can still help! While you can validate 25 addresses a day for free, and you can buy credits to use when you need to validate more, the site also offers monthly subscription plans.

Plans start at $9 a month (which is billed annually) for 250 validations per day and go all the way up to $499 a month (again, billed annually) for 25,000 validations per day. There’s a total of four plans, so there should be something that fits your budget and needs.

Bulk Tools

Having hundreds or possibly thousands of email addresses to validate isn’t necessarily a bad problem to have. That’s a lot of potential clients. If you’re going to validate that many addresses, though, you’ll need something pretty heavy duty. The above-mentioned Verafalia might work for you, but there are always other options.

NeverBounce

If you’re looking to send emails that never bounce, this certainly sounds like the right service for you. It’s right there in the name! Unlike Verafalia, NeverBounce charges Pay As You Go Rates, not subscription plan rates. The way it works is you tell them how many addresses you need to have verified and they’ll give you a quote. The more addresses you verify at once, the cheaper it is per address.

For example, if you need to check 10,000 email addresses, the cost is $0.008 per address, which comes out to $80. The price drops even more once you hit 100,000, 250,000, and 1 million email addresses. At that point, the cost is only $0.003 per address. That would be $3,000, but if you’re running a business big enough to need a million addresses verified, that probably isn’t an outrageous cost.

Email address validation

Of course, if you are running a big business, you might need to verify even more than a million addresses. At that point, they offer Enterprise Packages, which require you to contact them directly.

It’s an incredibly simple pricing scheme and is perfect for users who don’t need the service on a regular basis. If you’re going to pay for a monthly subscription, you’ll want to make sure you’re getting your money’s worth by using all of those verifications. However, if you’re unsure of how often you’ll need the service, Neverbounce’s pricing scheme is the way to go.

Zero Bounce

Zero Bounce, another bulk service, offers the best of both worlds: Pay As You Go rates as well as monthly subscriptions. Not only that, but their rates drop at frequent intervals. Whereas Neverbounce offers 4 tiers, Zero Bounce offers a whopping 9 tiers. Better still, the smallest tier of 100 verifications a month is free!

On the high end, 2 million verifications will run you $3,050, which gives Neverbounce a serious run for their money. Again, if you need more than that, you can contact them for Enterprise rates.

Verify email for free

The subscription prices can get a little confusing, as you’re still charged per address, but by agreeing to a monthly plan you can get slightly lower rates. It’s definitely something to take advantage of if you know you’ll be using it frequently.

There’s No Excuse for a Bounced Email

Like we laid out at the beginning of this article, nothing good can come from a bounced email. In very small doses, bounced emails are harmless, but they add up quickly and you’ll wind up in the spam folders of prospective clients before you know it.

With so many affordable, easy-to-use tools at your disposal, there’s no reason to take the risk. Even if there’s no wiggle room in the budget, plenty of sites offer free verifications. If you happen to max out the freebies on one site, you can always hop to the next.

Say it with us now:
No. Bounced. Emails.

You (or somebody) worked hard to get those email addresses. Don’t let that hard work go to waste!

Speaking of That Somebody

If you’re reading this before you’ve gotten your hands on some email addresses, you’re putting the cart before the horse. You can’t verify an email address if you don’t have an address to verify. So how do you get those addresses?

Lyne.ai is a good place to start. Our Google Chrome extension can scrape leads, with emails, from Linkedin Sales Navigator. If you’re trying to get your business off the ground, it’s a great place to start, but it can also provide a serious boost to established businesses. We even verify the email addresses ourselves, so you get to skip an entire step!

The Easiest Way to Manage Multiple Inboxes on One Domain

The Easiest Way to Manage Multiple Inboxes on One Domain

When you’re looking to scale your cold email campaigns, you’ll often find yourself adding multiple variations of the same person in your GSuite admin.

Managing multiple inboxes of the same person on the same domain can be a frustrating experience however. Having to login to several different Gmail inboxes, switching between tabs, and managing templates, replies, and leads across multiple accounts is just plain annoying.

It is however a reality plenty of sales reps & agency owners are facing daily (as were we until not too long ago..). Luckily for both of us, there’s a pretty easy solution to our problem that allows you to manage all these inboxes from your main alias.

It’ll make your life a lot easier because you’ll only have to stay logged in to 1 inbox, you can hook this inbox up to your CRM to never miss a lead, and there’s no need to save templates to new inboxes.

YouTube video

Getting started

To get started navigate to admin.google.com while logged in to the admin or main alias for the domain you’re managing.

Manage multiple inboxes

Go to Apps > Google Workspace > Gmail > Default Routing and start setting up a new forwarding rule.

Gsuite forwarding rule settings

In the next step, you’ll be asked which inbox you would like to receive all the emails from.

Manage multiple inboxes Gsuite

Here, put in the email address you’d like to forward to your main inbox. In our case, we’re looking to forward any email that comes into the “hdekker@getlyne.net” inbox to “hans@getlyne.net”.

Scroll down to “also deliver to” and click on “add”.

Gsuite advanced settings

Here, add the main inbox for your domain and instead of “basic” select “advanced”.

Workplace advanced settings

Under “spam and delivery options” uncheck “do not deliver spam to this recipient” to avoid having to still login and manually check spam (which you’re doing..right?!). Next, click save.

Advanced Gsuite Settings

Scroll down a bit further and make sure that “perform this action on non-recognized and recognized addresses” is selected and click “save” again.

GSuite for cold email

That’s it. Next, make sure you repeat the same action for every inbox you’d like to route to your main inbox and you’re good to go. You can now manage all these inboxes without awkward Fwd: threads or having to juggle multiple tabs & logins.

Some side notes

There are two small side notes to be made here. We’ll start with the most obvious one: you’ll now reply to the prospect from a different address than what they received the email from.

However, nearly no one notices and those who do, they don’t care. As long as you make sure that both inboxes are set up in the exact same way, meaning they both have the exact same pictures, signature, and sender name, there won’t be any issue here.

Another side note to be made here is that in theory, this could potentially (slightly) impact deliverability. Your alias inboxes will now only send & receive 1 email in a thread, and will never get a real email exchange going like most real humans would.

While there haven’t been any real numbers yet that support this theory, it’s something to potentially keep in mind. A simple solution to this would be to work with an email warmup tool that allows you to have email threads that go beyond just one email exchange.

What’s next?

What’s next is that you can now manage multiple inboxes without the headache. One great benefit that this brought for us is that we can now use Pipedrive’s double-sync feature to manage all these inboxes from our Pipedrive dashboard.

This means far less data entry work and we can simply create new leads in 2 clicks as they come in.

I hope this made your life a little easier as well. Want to make your (cold outreach) life even easier? Check out what we do at Lyne.ai.
